How do I sign up for WadMaster, and do I need a card?

Select Start free and complete the four signup steps: the name or nickname WadMaster should call you, your email, a password, and whether you work for yourself or run a small business. Then enter the six-digit code sent to your email. Creating an account does not require a card.
If you choose Starter or Pro, secure Paystack checkout comes after verification; choosing Free gives you 3 invoices, 10 expenses, and 1 AI receipt scan each month without a paid subscription.

Where do I update my business details and invoice branding?

Open Settings, then use the section that owns the information you want to change:
• Business details — business name, phone, email, and the address printed on invoices.
• Tax & compliance — TIN and VAT number.
• Bank account — settlement details.
• Invoice branding — logo, template, colours, invoice heading, payment-button text, and footer.
Profile is for your personal account name and sign-in details.

How do I reset my password if I cannot sign in?

On the login screen, click 'Forgot password?', enter your registered email address, and we will send you a secure password reset link valid for 60 minutes. If you still cannot access your account, email support@wadmaster.com.

Does WadMaster work on phones and tablets?

Yes! WadMaster is fully web-responsive and optimized for mobile devices, tablets, and desktop browsers. You can create invoices on the go, snap receipts with your phone camera, and check overdue balances directly from your mobile browser.

How do I create and send an invoice?

Accepted Answer

Go to Invoices and choose Create invoice. Select or add a customer, add inventory products or custom line items, set the invoice and due dates, choose whether it is already paid or still due, and select Create invoice. If the customer has an email address, you can email it during creation.
From the saved invoice, use Share to send it through another app, WhatsApp, email, or copy the private invoice link.

How can customers pay a WadMaster invoice online?

Accepted Answer

Online payment is optional, not automatic on every invoice. For an unpaid Naira invoice, turn on Add a payment link after adding the customer's email, completing KYC, and adding the bank account where settlements should go. Choose whether the link requires the full outstanding balance or lets the customer choose a partial amount, and optionally set a minimum partial payment.
The customer opens the invoice link and completes the Paystack checkout using a method Paystack offers, such as card, bank transfer, or USSD. If online partial payment is enabled, the customer can enter an allowed amount or use the full balance; otherwise checkout charges the full remaining balance. Online payments must meet the NGN 50 provider minimum, a seller's optional minimum, and cannot leave less than NGN 50 unpaid. WadMaster updates the cumulative paid and remaining amounts after confirmation. Manual and online part-payments can happen one after another, but manual recording and policy changes pause while a checkout is active.

Can I send payment reminders for overdue invoices?

Accepted Answer

On Home, find the overdue invoice queue and select Remind. WadMaster emails the customer a payment reminder with the invoice link. The invoice must be unpaid, past its due date, and have a customer email address. A successful invoice email or reminder starts a 24-hour cooldown before another can be sent.
To send a message yourself on WhatsApp, open the invoice and use Share; that is separate from the email reminder.

How do I customize my invoice design?

Open Settings -> Invoice branding to preview and choose from Simple Invoice, Modern Invoice, Minimalist Invoice, Modern Business, and Geometric Modern. Free can use 1 template, Starter 3, and Pro 5.
You can also set your logo, colours, invoice heading, payment-button text, and footer there.

How do I download an invoice PDF?

Open an invoice from Invoices -> Sent and select Download. WadMaster generates a PDF using the selected template, your business details, and any logo or bank details you have configured. Free and Starter invoices carry a small WadMaster line; Pro removes it. Printing is handled by your PDF viewer or browser after download.

How do recurring invoices work?

On Pro, open a non-voided Naira sales invoice and choose Make recurring. Set the first date, weekly, monthly, quarterly or yearly frequency, payment due offset, and whether WadMaster should email each generated invoice. Review the next dates before saving; a day from 29 to 31 moves to the last valid day in shorter months and returns when a later month allows it.
Each occurrence is a new normal invoice with its own number, balance, payment link and history, and it uses the normal monthly invoice allowance. From Invoices -> Recurring you can edit future line items, pause or resume, skip the next occurrence, generate the next invoice early, or end the schedule. Existing invoices never change when the schedule is edited.

Why did my recurring invoice schedule pause, and how do I restart it?

Accepted Answer

The schedule pauses instead of failing quietly. If Pro access ends, or the month's invoice allowance is used up, WadMaster stops that schedule and leaves it visible in Invoices -> Recurring with the reason shown. Invoices already generated are unaffected.
Fix what caused it — restore Pro, wait for the allowance to reset on the 1st, or upgrade — then choose Resume. A schedule paused for a fixable problem such as a missing customer email or insufficient stock can also be retried straight away with Generate now once corrected.

What happens if a customer overpays or pays after I already settled the invoice?

Accepted Answer

A verified payment is always recorded, even when it arrives after you marked the invoice settled another way. WadMaster never silently discards money a customer actually paid.
If the total received ends up higher than the invoice, the invoice shows the overpaid amount and the account is flagged for our team to reconcile with you, so you can refund the customer or hold it against their next invoice. Payments that were refunded or reversed are taken back out of your revenue figures, so Insights shows what you actually kept.

How does AI receipt scanning work?

Go to Expenses -> Scan Receipt. Upload or capture a photo of any physical or digital receipt. WadMaster's AI model scans the image, extracts the vendor name, date, total amount, and individual line items, and auto-suggests a category. You review the extracted data and confirm with one click.

Which file types and sizes can I upload for receipt scanning?

We support JPG, PNG, WEBP, and PDF files up to 10MB in size. Ensure the receipt text is legible and well-lit for optimal extraction accuracy.

Can I record an expense without a receipt?

Accepted Answer

Go to Expenses and choose Add expense. Record who or what you paid, the date, amount, payment status and method, a reporting category, and any optional reference, note, or line items. A receipt is optional. You can also save suppliers under Expenses -> Vendors and reuse their default details.

How are expenses categorized and used in Insights?

Every confirmed expense has a reporting category such as Office Supplies, Utilities, Rent, Salary, Marketing, Travel, Software, Hardware, Maintenance, Taxes, or Other. You choose it when entering an expense; an AI scan can suggest it, and a saved vendor can supply a default.
You may add a more specific label without changing the reporting category. Expenses are grouped in reports and are used with revenue and recorded product costs to show profit and margin in Insights.

When does an invoice reduce inventory stock?

Stock tracking is available on Starter and Pro. When a non-draft invoice contains an inventory product, WadMaster posts a sale movement and reduces that product's quantity on hand. Editing the invoice posts only the quantity difference.
Deleting an invoice that has no payments returns the stock; draft invoices do not hold stock. Each movement remains visible in the product's stock history.

How do low stock alerts work?

Set a reorder level on each tracked product. When quantity on hand reaches or falls below it, WadMaster shows the product as low stock in inventory views. Stock tracking is included on Starter and Pro; automated low-stock email alerts are a Pro feature.
Free does not include stock tracking, and Starter does not send the automated low-stock email.

How does WadMaster calculate product profit and margin?

Accepted Answer

Enter a selling price and, when known, a cost price for the product. WadMaster shows per-unit profit as selling price minus cost price, and margin as that profit divided by selling price. Starter and Pro include inventory margin reporting and product-performance views in Insights.
If a sold line has no recorded cost, WadMaster marks that margin as unavailable or incomplete instead of treating the cost as zero.

What information can I store in a customer profile?

A customer record stores a name, optional email, phone, Instagram handle, address, and TIN. The name can be the person's or business's name. You also choose Prospect or Customer manually.
The customer page keeps their invoices and payments together and can show lifetime value, outstanding balance, invoice count, average order, days to pay, on-time rate, top products, and recent activity when enough history exists.

What do the customer metrics on the dashboard mean?

These are dashboard summary metrics, not badges assigned to each customer:
• Active customers — customers with at least one confirmed paid invoice whose latest payment was within the last 60 days.
• At risk — paying customers whose latest payment was more than 60 but no more than 120 days ago.
• Repeat rate — the percentage of paying customers with at least two distinct paid invoices.
Customers with no confirmed payment are not included in these payment-behaviour calculations.

What are the differences between Free, Starter, and Pro plans?

The main differences are monthly capacity and access to advanced features:
• Free (₦0) — 3 invoices, 10 expenses, 1 AI receipt scan, 1 sales-practice session, up to 10 products, and 1 invoice template. Invoices carry a WadMaster line.
• Starter (₦3,000/month) — 200 invoices, 200 expenses, 15 scans, 15 sales sessions, up to 200 products, and 3 templates. It adds stock and margin reporting, and data and e-invoice exports. Invoices still carry the WadMaster line.
• Pro (₦7,500/month) — 500 invoices, 500 expenses, 30 scans, 30 sales sessions, unlimited products, and all 5 templates. It adds recurring invoices, automated low-stock alerts, priority support, removal of the WadMaster line from invoices, and everything in Starter.
Invoice, expense, AI-scan, and sales-practice allowances reset monthly. Product and template limits apply to the account and do not reset each month.

When do monthly invoice and expense limits reset?

Monthly allowances for all plans reset on the 1st day of every calendar month at 00:00 UTC. Unused monthly quotas do not roll over.

How do I upgrade, downgrade, or cancel my subscription?

Accepted Answer

Open Subscription from Settings or the plan badge. Moving to a higher paid plan goes through Paystack and changes access only after payment is confirmed. Moving to a lower plan is scheduled for the end of the current paid period, so your current features remain until then.
Turning off automatic renewal also keeps paid access until the period ends, preserves existing records, and then moves the account to Free. If you are still on an old price, cancelling gives it up for good — you would rejoin at the current price.

Which plan removes WadMaster branding from my invoices?

Pro is the only plan that removes it. On Free and Starter, a small WadMaster line appears at the foot of the invoice — both on the PDF you download and on the page your customer opens from the payment link. On Pro the invoice carries only your own business details and branding.
This does not remove a business logo, heading, colours, or footer text that you set yourself in Settings -> Invoice branding.

Can I pay for Starter or Pro annually?

Yes. In Subscription, switch from Monthly to Annual before choosing Starter or Pro. Starter is ₦30,000 per year and Pro is ₦75,000 per year, equal to ten current monthly payments. The full annual amount is charged through Paystack for the year.
Plan access starts only after WadMaster confirms the payment.

What is AI Sales Practice and how does it work?

AI Sales Practice is an interactive sales roleplay simulator. You practice negotiating with an AI persona that simulates real Nigerian customer objections (e.g. price haggling, payment terms, trust issues).
At the end of the session, the AI provides a scorecard detailing your confidence, objection handling, clarity, and deal-closing rating.

No. Every tool at wadmaster.com/tools works without signing up. An account is only for the part the tools cannot do: keeping a record of what you sent, seeing who has paid, and chasing what is still outstanding.

Yes, you can send the free invoice or receipt PDF to a real customer, but it does include WadMaster branding in the document footer. It is not a translucent watermark across the page. Your business and transaction details remain the main document content.
Inside a WadMaster account, Free and Starter invoices also keep the WadMaster line, and Pro removes it.

Does WadMaster store what I enter in the free tools?

No. The tools run entirely in your browser and nothing you type is sent to WadMaster. The invoice and receipt generators keep a draft in your own browser storage so you do not lose your work if the page reloads, and that draft never reaches our servers. Clearing your browser data removes it.

What does a WadMaster account do that the free tools do not?

The free tools make standalone documents and calculations. An account keeps invoices, payments, expenses, customers, and products together so you can see what is paid or overdue and review business insights.
Eligible Naira invoices can include an online payment link after KYC and bank setup, and overdue invoices with a customer email can receive an email reminder. If you only need a document to send or print, the free tool may be enough.

Can I transfer a free-generator invoice into my account?

Not automatically. The generator's draft stays in your browser and is not carried into an account when you sign up, so an invoice you want tracked has to be entered again inside WadMaster. If you already know you want a record of it, it is quicker to start in the account.

How do I calculate 7.5% VAT on an invoice?

Accepted Answer

Nigeria's standard VAT rate is 7.5%, and there are two different sums people confuse. To add VAT on top of a price, multiply by 0.075 and add it — ₦100,000 becomes ₦107,500. To find the VAT already inside a price, divide by 1.075 — ₦107,500 contains ₦7,500 of VAT.

Is withholding tax 5% or 10% on an invoice?

Withholding tax is deducted by your customer and remitted to the relevant tax authority on your behalf. It reduces the cash you receive but is generally an advance income-tax credit, so keep the withholding-tax credit note.
Common Nigerian rates include 5% and 10%, but the correct rate depends on the payment category, payee type, exemptions, and sometimes treaty rules. WHT is normally calculated on the goods or service value before VAT: on a ₦500,000 invoice plus ₦37,500 VAT, the WHT base is ₦500,000.
Use the free WadMaster WHT calculator for common cases and confirm the applicable rate with the Nigeria Revenue Service guidance or a tax adviser before remitting.

What is the difference between margin and markup?

Markup is measured against what you paid; margin is measured against what you sold for. Buy at ₦1,000 and sell at ₦1,500 and that is a 50% markup but a 33.3% margin — the same trade, two very different numbers, and quoting the wrong one is how a business thinks it is making more than it is.
The free calculator at wadmaster.com/profit-margin-calculator converts between them. Inside WadMaster, recording a product's cost price means margin is worked out for you on every sale.

How does my affiliate referral link work?

Accepted Answer

Your affiliate dashboard builds links by adding ?ref= and your referral code to a WadMaster page. Opening a valid referral link stores the code in that browser for 30 days so the person can sign up later and still be attributed. The cookie works across wadmaster.com and app.wadmaster.com.
If the browser blocks or clears cookies, the person changes device, waits more than 30 days, or later opens a different referral link, the original attribution may not be available.

How is affiliate commission calculated?

You earn one commission equal to 10% of the referred user's first successful Starter or Pro payment, excluding taxes and fees. Free signups, free-tool activity, renewals after that first paid-plan payment, and self-referrals do not earn another commission. The current rules are in the affiliate terms.

How do affiliate payouts work?

Track referrals and earnings under Affiliate. Once pending commission reaches at least ₦1,000, request a payout there. WadMaster sends the full eligible pending balance to the bank account saved in Settings after the request is reviewed; the published processing target is up to two business days.
You cannot open another request while one is pending or approved. For a specific payout status, email support@wadmaster.com because the public assistant cannot inspect it.
